Terms of use
Last updated: 28 October 2026
These terms are between Dentyaan Private Limited, which runs Dentyaan HMS ("we", "us"), and the hospital that uses Dentyaan HMS ("the hospital", "you"), including everyone the hospital gives a login. By using Dentyaan HMS, you agree to them. Our privacy policy explains how we handle personal data.
1. What Dentyaan HMS is
Dentyaan HMS is a hospital management system that works in the browser on any phone, tablet or computer: registration and reception routing to departments, department case sheets with triage and early warning scores, the medico-legal case register, antenatal care, inpatients with wards, notes, medicines and discharge summaries, tests and reports, PCPNDT Form F, quality indicators, prescriptions, bills, stock, and links to ABHA and to the hospital's other software, with AI help for notes.
2. Your account
- The hospital owner decides who gets a login and what role they have, and removes people who leave.
- Each person uses their own login and keeps their password private.
- Tell us straight away if you think someone has misused an account.
3. Clinical decisions stay with the doctors
- Dentyaan HMS helps you keep records. It does not give medical advice.
- AI drafts, such as voice notes, the department suggested from what a patient says, and handwriting read from photos, can be wrong. The doctor must check and correct them before saving.
- Diagnosis, treatment and prescriptions are the doctor's decisions.
4. Patient data and consent
- The hospital is responsible for collecting patient data lawfully, getting patients' consent, including for voice recording, and keeping records accurate.
- For patient data, the hospital is the Data Fiduciary and we are its Data Processor under the Digital Personal Data Protection Act, 2023. We process patient data only to run Dentyaan HMS for the hospital and on its instructions, as described in our privacy policy; we keep reasonable security safeguards, including a log of who opened which patient's record kept for at least a year; and we tell the hospital at once if something goes wrong (section 9).
- Patients make their requests through the hospital: a copy of their data, a correction, deletion, a nominee, or a complaint. The hospital answers them, within 72 hours for a copy of records as the medical council's code of ethics asks, and within the period it publishes for other requests. Dentyaan HMS gives the hospital the tools: Patient requests, with reminders, and Copy of patient's data. Deleting a patient for good is asked for by the owner and done by the Dentyaan team.
- We also count how each hospital and doctor uses Dentyaan HMS, such as visits, procedures, follow-ups kept and the amounts billed and collected, to support hospitals and improve Dentyaan HMS. These counts never identify a patient, and we do not share a hospital's counts with anyone outside Dentyaan Private Limited.
- The rules, ranges, score limits, keyword lists, case sheets and form wording that come with Dentyaan HMS are a starting point. The hospital's doctors check and confirm them before they are used for patients, and the hospital stays responsible for its statutory registers and returns (such as PCPNDT Form F, the medico-legal register, and births and deaths).
5. ABHA and ABDM
The ABHA features are off unless the hospital switches them on, and they work only once the National Health Authority (NHA) has approved Dentyaan HMS. If the hospital uses them:
- The hospital is responsible for getting each patient's consent before creating or linking their ABHA, or asking for their records from other hospitals.
- The hospital uses the ABHA features only for the patient's care.
- The hospital sends link codes only to the patient's own mobile number.
- ABDM is run by NHA, so whether it is available depends on NHA, not on us.
Our privacy policy explains what Dentyaan HMS stores and sends for ABHA.
6. Price
The price for your hospital is the one we agree with you in writing. All prices are plus GST. We will tell you before any change in price, and you can stop before it applies.
7. Fair use
Do not use Dentyaan HMS for anything illegal, try to break into it or its data, share logins, upload harmful files, or look at records you have no reason to see. Every opening of a patient's record is logged, and the hospital owner can see who opened what.
8. Availability
We work to keep Dentyaan HMS running and backed up every night, but we cannot promise it will never be interrupted. Dentyaan HMS keeps working without the internet for screens already opened on that phone or computer, and sends changes when the connection is back.
9. Security incidents
- If we find that patient data at your hospital may have been seen, changed or lost by someone who should not have it, we tell the hospital owner at once, by phone and with a notice in Dentyaan HMS every owner must mark as read. We say what happened, what we have done, and give you the list of patients whose records were opened or changed in that time.
- We report cyber incidents to CERT-In within 6 hours, as Indian law requires.
- As the Data Fiduciary for your patients, the hospital tells the Data Protection Board and the affected patients without delay, with a detailed report to the Board within 72 hours. We give you the facts and help with the wording.
- To stop an incident, we may sign out everyone at your hospital, or turn the hospital off for a while, and tell you straight away.
- Tell us at once if you think your hospital's records were misused, for example after a lost phone or a password given away: info@dentyaan.com, +91 79765 46258.
10. Your data stays yours
The hospital's records belong to the hospital. You can download the register as an Excel file, any patient's full record as a standard FHIR file, and a copy of everything about one patient as a PDF with their photos, at any time. When you stop, we delete your hospital's data when you ask, after you have downloaded what you need.
11. Stopping
You can stop using Dentyaan HMS at any time. We may suspend an account that breaks these terms or is not paid for, after telling you, except when we must act at once to protect patients or the service.
12. Liability
To the extent the law allows, we are not responsible for indirect losses, and our total liability for any claim is limited to what the hospital paid us in the 12 months before the claim.
13. Changes to these terms
If we change these terms, we will update the date at the top and tell hospitals before an important change.
14. Law
These terms are governed by the laws of India, and the courts of Kakinada, Andhra Pradesh, have jurisdiction.
